Job Title: Assistant Manager - Purchase

2. Job Purpose
To manage the procurement of trading materials by ensuring timely availability, competitive
pricing and optimum inventory levels. The role involves vendor sourcing and development,
commercial evaluation, negotiation, PO processing, order follow-up and coordination with
plants and internal stakeholders.
3. Key Responsibilities
Manage end-to-end procurement of trading materials based on requirements from
plants, planning and stores.
Plan procurement based on Min/Max inventory levels, consumption, MOQ, lead
time and stock availability to avoid stock-outs and excess inventory.
Source and develop new vendors/manufacturers and identify alternate sources for
existing materials.
Obtain and evaluate quotations and prepare comparative statements based on price,
GST, freight, payment terms, MOQ, lead time and other commercial conditions.
Negotiate with vendors on pricing, payment terms, MOQ, freight, lead time and
other commercial terms to achieve cost optimization.
Process and monitor Purchase Orders (POs), ensuring accuracy of quantity,
specifications, rates, taxes, delivery location and agreed commercial terms.
Follow up with vendors for production, dispatch and delivery and coordinate with
relevant teams to resolve delays, shortages and supply issues.
Handle/coordinate import procurement including supplier quotations, FOB/CIF
terms, landed-cost evaluation, payment terms and shipment-related documentation.
Conduct price benchmarking and market analysis to identify cost-saving
opportunities and monitor price movements.
Coordinate with Planning, Quality, Finance, Logistics and Plant teams for smooth
procurement and material availability.
Maintain procurement MIS, vendor records, open PO/requirement trackers and
relevant documentation for management reporting and audit requirements.

Role Purpose
To manage strategic sourcing and procurement activities for assigned commodity and specialty categories by ensuring uninterrupted material availability, optimizing procurement costs, strengthening supplier relationships, and driving sourcing excellence while maintaining quality, compliance, and operational efficiency.
Key Responsibilities
Strategic Sourcing & Category Management
- Develop and execute sourcing strategies for assigned commodity and specialty categories.
- Analyze spend patterns and identify opportunities for cost optimization and value engineering.
- Drive annual cost reduction initiatives while ensuring uninterrupted supply.
- Conduct market intelligence to monitor pricing trends, supply risks, and alternate sourcing opportunities.
Procurement Planning
- Prepare procurement plans in line with production schedules and business requirements.
- Ensure timely procurement of raw materials, packaging materials, engineering items, or indirect purchases as applicable.
- Monitor inventory levels to balance material availability with inventory carrying costs.
- Coordinate with Production Planning, Supply Chain, Finance, and Plant teams for procurement execution.
Vendor Development & Management
- Identify, evaluate, onboard, and develop domestic and international suppliers.
- Conduct supplier capability assessments and periodic vendor performance reviews.
- Build long-term supplier partnerships to improve quality, cost, delivery, and innovation.
- Develop alternate suppliers to mitigate supply chain risks.
Negotiation & Commercial Management
- Lead commercial negotiations covering pricing, payment terms, contracts, delivery schedules, Incoterms, freight, taxes, and duties.
- Finalize purchase contracts while ensuring commercial compliance.
- Negotiate annual rate contracts and long-term supply agreements.
International Procurement
- Coordinate with overseas suppliers for imports and international sourcing.
- Ensure compliance with import regulations, customs, GST, duties, and applicable statutory requirements.
- Monitor shipment schedules and resolve supply disruptions.
Systems & Compliance
- Execute procurement transactions through SAP / Microsoft Dynamics 365 (D365).
- Ensure procurement processes comply with company policies, audit requirements, and statutory regulations.
- Maintain accurate procurement documentation and supplier records.
Cross-functional Collaboration
- Work closely with Manufacturing, Planning, Quality, NPD, Logistics, Finance, and Stores to ensure seamless procurement operations.
- Support new product development initiatives by identifying and sourcing new materials and suppliers.
- Participate in cross-functional cost optimization and supply chain improvement projects.
Candidate Profile
Educational Qualification
- B.E. / B.Tech with MBA (Preferred)
Experience
- Minimum 10–12 years in procurement within a manufacturing organization.
- Experience in commodity and specialty sourcing.
- Hands-on experience in procurement planning, vendor development, negotiations, and scheduling.
- Experience in independently managing procurement categories.
- Exposure to international procurement and supplier management.
